Reporting

Aside from reduced processing costs, the major benefit of electronic purchasing is the reduction of funds spent. This is achieved by knowing what was purchased within a given period by commodity or service. Knowing the amount spent by contract or vendor is important, but the total spent for a classified item, regardless of who the vendor was, gives the government the most leverage when obtaining bids or negotiated prices for the next period.

The reports that are available for both the eProcurement and iCatalog Purchasing provide the knowledge to know what was spent and obtain better prices. In addition to standardized reports, custom reports can be created as well as a periodic copy of all procurement data that can be loaded into a government information warehouse for detailed analysis.

Our eProcurement application and iCatalog offer a suite of standard reports as well as the capability to create custom reports and extract data files for use in various reporting systems.

Standard Reports:

The following are some of the standard procurement reports included within the eProcurement/iCatalog system. Each of these reports give the agency flexibility to select the report parameters, including date range, commodity codes, dollar value, and supplier type. Other reports include: Requisition Cycle Time, Requisition to PO Cycle Time, List of Suppliers By Commodity Code, List of History of Awards, List of Purchases by Purchasing Instrument, List of Un-processed Requisitions, List of Solicitations, Purchasing Activity by Department, Registered Suppliers, Supplier Solicitations Email Information by Supplier Type, Cost Savings Report, Buyer Activity Report.

Data Extracts:

We understand how critical it is for the State to be able to rapidly and accurately respond to the multitude of requests for data and reports. In the event that a need arises for the State to run reports outside our provided ad hoc reporting tool, our system will make data available in a format where they can import their data into their own report writing application.

Ad Hoc Reporting:

Allows users to create their own dashboard of information that is of interest to them creating their own “Performance Indicators.”

Agency data is refreshed every night from the eProcurement Application and iCatalog transactions that occurred during the day. Since extensive caching methods are used for the saved views, displaying the dashboard and saved multi-page reports is very fast. Creating the charts and data grids is also fast due to the way the data are restructured for reporting purposes; but, of course, it does depend on the amount of data processed, filtered, and/or summarized.
